Re: Horwood House Meetup for Zed Fest 2012

Guys and Gals

I have been in communication :)] with the hotel on your behalf and although we do not yet have a finalised position there are some things that I can confirm. There are also some things that I can identify we are discussing and so I thought it about time I posted an update.

First the things I can confirm: :-bd

1) The Hotel have said that they will provide dedicated parking so that we can all park together and also that it will help for a photo-shoot if we have a photographer. (or even just us happy snappers)

2) They have also confirmed that they will facilitate us being able to wash and titivate our treasures before we go on to Silverstone. (I will get more information when I visit the hotel as they have asked me to do this and I will report back on that in a few weeks when I get to visit them).

3) This is not so good, there are only two function rooms and on the Saturday they have two weddings so the function rooms are both in use.

Now to what we are discussing: :-@ :)] :ympray:

I have raised the subject of BBQ and they have asked if we would be prepared to be housed in a Marquee for it and I said that we might prefer it especially if it was close to the dedicated parking area so that odd trips to the different cars for discussions could take place. The hotel have indicated that typical food costs are of the order of £15 ph (per head) for a hog roast ) to up to £30 ph for an all singing and dancing BBQ 3:-O . Now whilst on the subject of cost, we do not yet have their offering as they have to source the Marquee and I am trying to "obviously" get it for "us" as cost effectively as I can. $-) The Hotel have not come back to me on anything with respect to prices as they are trying to put something together for us. I feel the hotel management like the idea and are trying very hard to pull together something that will work for us.

Should this all come to pass the hotel have indicated that they would need to be sure of numbers by the end of May and that we need be aware of the two weddings they have on the Saturday. I think this means get your bookings in sooner rather than later.

Also I would like to add that the fact that when I started discussion we had 14 rooms booked (out of the 69 they had booked at that point) and we were up to 18 when I spoke to them yesterday has also counted in our favour. They know we are serious so thanks for that guys and gals, and keep it up it is all good ammo.

Doing things by committee is always difficult but I would like peoples comments to help with my discussion and to know that I am not misrepresenting the common interest.

Thanks in anticipation :coolsteer)

Many thanks Duncan for your good work negotiating with the hotel. :ymapplause:

I like the idea of special parking and car washing. :-bd

The idea of a BBQ appeals for us too, and as you say, if our Zeds are close by, that would be good. One thing to concider would be the time we arrive back from Silverstone. Also could our rooms be far away from all the noisy wedding guests. =))

Look forward to your further updates.

The East Anglian Crew are very good at shoe horning into other peoples function especially if they are doing cheap booze :ymdevil: Memories of a recent Christmas Party spring to mind :ymparty: (ONLY JOKING)
Sounds like you are doing a fantastic job, the details are just the ticket. Can't wait for July. :D

Re: Horwood House Meetup for Zed Fest 2012

Good work but you will need to consider Friday or Saturday night.

Some people are staying over for both, some just just the Friday (like me) and I presume some just the Saturday. so you will probably need to choice the night with most people staying over ?

Re: Horwood House Meetup for Zed Fest 2012

Couple of good points already thanks.

Do we have anyone on the Forum that is "connected" either to Silverstone or the BMWCC so that we can get an idea on timings to set up for? Thanks Ragtop that has not come up yet but will do :bulb

If we get a good enough deal do we go for both evenings? :ymparty: if the hotel are picking up the Marquee costs then both days is no loss to us is it? and it avoids attendance day choice problems.

If we limit to Friday then there is no requirement for the Marquee. Which might please the hotel, at the moment though they are assuming both nights and I have not disabused them of that impression.

If we book out all the rooms the wedding parties will be limited to the function rooms so pass on the message to get people booking. :ar! :-j

The Zed run on the Silverstone circuit is scheduled for 6pm on the Saturday so by the time its over and we all get out from there ,would you think it would be at least 7-30 when we all get back to horwood house, dont forget some may want to see Adam Ant. :bulb

That might include me at least for a bit :-?? but that might mean a 21:00 till 23:00 BBQ/hog roast could be good? I know it might be a little late but if the bar is open for those that arrive earlier :beer

Thoughts please

We need to consider the timings first and formost.

I don't think any decisions can be made until then.

I do like the idea of a hog roast, the BBQ seems expensive?

Dont know about everyone else, but I'm getting more excited by the day!

I would like to see Adam ant, he was my hero.

We could have a late dinner on sat. Why have an early one!

I want to savour every minute of the 2 days!

I'm not bothered if I eat at 10 or 11 on the sat.

What are people's thoughts.

I'd like to know what time the hotel bar is open till.
